Compliance is an important part of the intelliHR platform that can help save Leadership teams valuable time in chasing or policing records. The section carries sensitive and regulated information and it’s important to consider your User Access to control who can see and use the information. This article aims to explain the functions available in the Compliance section to assist you in making these decisions.
Compliance
The Compliance section is built to track all forms assigned across the business and to maintain the visibility of groups of people for risk and compliance purposes. Typically, access to this section is restricted to System Administrators, as it allows access to sensitive information.
There are six sections to the Compliance Area:
1. Tasks – all forms (issued and completed) across the organisation.
The Tasks area of Compliance contains every form that has been issued, as well as any upcoming ones that have been scheduled. This gives you an overview of the organisation and helps you to see at a glance which Forms are outstanding and which have been completed.
2. Performance Management – all current and past performance management issues recorded in the system.
Here you can see all current and resolved performance issues. Permission to view this section is typically limited to System Administrators.
3. Qualifications – overview of all Mandatory Qualifications required by employees and an accessible view of the non-compliant employees in the organisation.
Your business may operate in an industry where mandatory qualifications are required by law or otherwise to exercise a job. To help you stay on top of mandatory qualifications the Qualification section in Compliance lets you quickly and simply view your business’s overall compliance, including qualifications nearing expiry. From this view you can drill down to follow up any employees risking non-compliance. To minimise the risk of liability for your business, it’s important to review this section of the system on a regular basis.
4. Contractors – Any fixed term roles that have passed or are about to pass (14 days) their Expected End Date (based on Job Attributes).
This section lists any fixed term roles that have passed or are about to pass their expected end date. Only jobs with a work type of Fixed Term will appear here. The dates are based on the Expected End date listed on an employee’s job.
5. Work Rights – Any employee with working rights that have expired or are due to expire in the next 14 days (based on personal information).
Your business may employ people with working rights that have restricted time frames. To help you stay on top of these, this section uses the work rights information on a person’s profile to track upcoming and expired working rights. If you have employees with working rights that have expiry dates, it is important to review this section of the system on a regular basis.
6. Leave – Any employees currently on extended leave or overdue to return from leave.
- All Leave lists every person on extended leave in your business, as well as their start and end dates, their role and the leave type taken.
- Overdue lists all employees with a return date from extended leave that has passed, without their return being finalised in the system.
It is important to finalise return dates from extended leave to record this information. Additionally, employees on extended leave are flagged across the system and can be excluded from pulses (if you have this setting enabled).
