Status pills display on employee records, the org chart and the people directory when certain actions occur on a specific job. These show in the form of pills or dots in their associated colours. Concurrent and secondary future roles are separate jobs and will be treated accordingly to show their specific status. Visibility of these work status pills is subject to permissions. This guide will cover the employee status work types and the permissions associated with these.
Work Status Pills
Current Staff
Current staff do not have a work status pill associated with their profile. However, a current staff member indicates this person has at least one associated job record with a start date in the past with no end date, an end date greater than 4 weeks in the future, or an end date that has not yet been confirmed.
Upcoming Staff
The upcoming staff status pill will show on the employee profile when a Job is created with a start date in the future.
To view the upcoming staff pill an employee must have the permissions shown below.
On Extended Leave
The person is on extended leave (eg. parental leave, sabbatical). This status remains until their return date has been finalised and has passed.
To view the extended leave pill an employee must have the permissions shown below.
Exiting Staff
When a job end date is finalised with an end date within 4 weeks the person's profile will show with an exiting staff work status pill. However, this is dependent on a combination of permissions and the actions taken when the employee is made a leaver on intelliHR.
To understand if an employee will have visibility of the 'Exiting Staff' pill prior to an employee's leaving date please read the two scenarios below:
- When terminating an employee the administartor has the option to select the option 'Show end date before job has ended', and select the number of days before the end date that the Exiting Staff pill should be visible. If this option is selected, employees will be able to see the Exiiting Staff pill on the employee's profile (but not on the org chart) irrespective of the permissions assigned to them.
- When terminating the employee the administrator does not select the option to show the end date prior to the employee's last date the ability to view the 'Exiting Staff' pill is dependent on the employee's permission to View end dates seen below.
Past Staff
All of this person's job records have confirmed end dates in the past.
Returning Staff
This person has a job due to start in the future, as well as a previously ended job record.
No Job Records
No job record indicates that this person has never had an associated job record. A profile has been created but a job has not yet been created. A person with no job record will not show on the org chart until they have a job assigned.
